Artificial Intelligence (AI) Policy

 

1. Purpose and Scope

This policy establishes the principles and responsibilities governing the use, development, and management of Artificial Intelligence (AI) technologies within the Company. It aims to ensure that AI is utilized responsibly, securely, and ethically to support the Company’s mission and strategic objectives.

2. Commitment to Responsible AI Use

The Company is committed to leveraging new and emerging technologies — including Artificial Intelligence — to enhance operational excellence, performance improvements,
environmental targets, wellbeing, safety and development of employees and seafarers, reporting and transparency, and risk management.

All AI initiatives must align with these objectives and adhere to the highest standards of integrity, accountability, and compliance.

3. Data Privacy

  • The Company ensures that all data used in AI systems is handled in strict compliance with applicable data protection and privacy regulations, including the General Data Protection Regulation (GDPR) and other relevant national laws.
  • Personal and sensitive data shall only be collected, processed, and stored when necessary for legitimate business purposes and with appropriate consent or legal basis.
  • Data used in AI development or operations shall be anonymized or pseudonymized whenever possible to minimize privacy risks.
  • AI systems must be designed to respect individuals’ rights to privacy, including transparency on how data is used and decisions are made.

4. Cybersecurity

  • The Company shall maintain robust cybersecurity measures to protect AI systems, related data, and supporting infrastructure from unauthorized access, misuse, alteration, or destruction.
  • AI applications must undergo security assessments and risk evaluations prior to deployment to ensure resilience against threats, vulnerabilities, and potential adversarial attacks.
  • Regular monitoring, updates, and audits shall be conducted to maintain system integrity and protect against evolving cybersecurity risks.
  • Employees must adhere to Company cybersecurity policies and report any incidents, anomalies, or breaches immediately to the designated authority.

5. Governance and Responsibility

  • The Research and Development (R&D) Department holds primary responsibility for the development and oversight of AI technologies.
  • The R&D Department shall work in close collaboration with all departments to ensure AI tools and applications are developed, tested, and deployed responsibly and in alignment with business needs.
  • All departments are responsible for ensuring that the AI systems under their operation comply with this policy and applicable regulations.

6. Transparency and Accountability

  • The Company shall maintain clear documentation on AI system design, data sources, decision-making processes, and intended use.
  • AI decisions that significantly affect stakeholders shall be explainable and auditable.
  • Employees involved in AI development and use must receive appropriate training on ethical AI practices, data protection, and cybersecurity.

7. Continuous Improvement

The Company is committed to continuously improving its AI systems, policies, and governance practices. Regular reviews will be conducted to ensure that AI applications remain ethical, compliant, and aligned with Company values and strategic goals.
